KAINOS CREATIVES

Privacy Policy

Last updated: 19 October 2026

Who is responsible for your information

Kainos Creatives is the trading name of Jeorge Vincent Jemenia, a sole trader. For data-protection purposes, Jeorge Vincent Jemenia is the controller of personal information collected through this website and enquiries to the business.

Correspondence address: 1 Summer Chase, Leeds, LS15 0FL, United Kingdom.

Information you give us

When you use the enquiry form, we collect your name, email address, selected service and message. You may also provide an organisation name and website address. We also receive information you send us directly by email and details needed to discuss, quote for or carry out an agreed project.

Providing enquiry details is voluntary, but without your contact information and enough detail about your request we may be unable to respond or prepare a proposal.

Please do not send passwords, recovery codes, payment-card information or sensitive personal information through the enquiry form.

Why we use it and our lawful bases

  • Answering enquiries and preparing proposals: to understand your requirements, reply and discuss a possible project. Where you contact us for yourself, this can be necessary to take steps at your request before entering a contract. Where you represent an organisation, we rely on our legitimate interests in responding to business enquiries and managing business relationships.
  • Delivering agreed services: to communicate, organise work and fulfil an agreement. We rely on contract where you are the contracting individual, or legitimate interests in managing a business relationship where you act for an organisation.
  • Keeping accounts and meeting legal duties: to maintain the records required by tax, accounting and other applicable law. The lawful basis is legal obligation.
  • Protecting the website and investigating problems: to prevent misuse, manage administrator access and investigate delivery or security issues. We rely on legitimate interests in keeping the service reliable and secure, with access and retention limited to that purpose.
  • Optional cookies, if used: as explained in our Cookie Policy and consent settings. Where consent is required, you can withdraw it through those settings.

We do not currently operate a marketing mailing list or send separate email marketing. Sending an enquiry does not subscribe you to marketing messages.

Website and delivery records

When you submit an enquiry, your details are stored within the website’s enquiry system and an email notification is sent to our business mailbox. Our hosting, email, security and cookie-preference services may also process technical information, such as your IP address, access records, email delivery details and cookie choices.

Our website and business email mailbox are hosted by Webhosting UK COM LTD (webhosting.uk.com), a UK-based business. Email-delivery and cookie-consent records are retained for no longer than 12 months. This period applies to those technical records, not automatically to enquiry correspondence or project records.

Service providers and sharing

We use service providers for website hosting, email delivery, security, backups and professional business administration where needed. They may process information to provide those services. We may also disclose relevant information where required by law or necessary to establish, exercise or defend legal claims.

Processing locations

Webhosting UK describes its hosting infrastructure as UK-based. Its published terms also allow processing by support providers outside the UK. UK storage therefore does not mean that all access and processing takes place in the UK. Contact us for information about the arrangements relevant to your personal information.

How long we keep it

We review enquiries that do not become projects 12 months after the last substantive contact and delete information no longer needed from the website’s enquiry records, business mailbox and routine email-delivery records. We retain relevant information longer only where needed for a documented ongoing enquiry, agreed project, legal duty or dispute.

We keep financial records needed for our self-employed tax obligations for at least five years after the 31 January submission deadline for the relevant tax year, or longer where legally required. Other project records are kept only for as long as needed to deliver the work, provide agreed support or deal with legal claims.

We take weekly website backups and retain five rotating backup sets. Each new weekly backup replaces the oldest set once the limit is reached. A deletion from the live website may remain in an earlier backup until that set is replaced. If a backup is restored, relevant deletions must be applied again.

Separately, our hosting provider takes daily off-site backups of our hosting account, including email mailboxes, and retains them for seven days. These provider backups are additional to our own weekly website backups. Deleted information may remain in a backup until that backup is replaced under the relevant retention schedule.

Keeping information safe

We use access controls, website security measures and backups to help protect personal information. Please use an agreed secure channel for project credentials rather than the enquiry form.

Your rights

Depending on the information and lawful basis, you may be able to ask for access, correction, deletion, restriction, a portable copy, or to object to processing. These rights have legal conditions and exceptions. Where processing relies on consent, you can withdraw consent without affecting processing that was lawful before withdrawal.

Contact connect@kainoscreatives.com to make a request. We may need proportionate information to verify your identity. You can also complain to the Information Commissioner's Office: ICO complaints service.

Your right to object

You can object to processing based on our legitimate interests on grounds relating to your particular situation. We will consider your request in accordance with applicable data-protection law.
